How to Budget for Employee Onboarding Gifts

How to Budget for Employee Onboarding Gifts

Onboarding gifts are one of the easiest budget lines to get wrong — either too small to register, or generous enough that it becomes a recurring cost nobody accounted for at scale.

A simple starting framework: set a per-employee ceiling, not a per-item ceiling. Decide what you're comfortable spending per new hire, then let that number flex across notebook, bottle, and pen rather than pricing each item separately. Most Indian companies land somewhere between ₹1,500 and ₹3,000 per onboarding box depending on seniority and role.

Tiering by level is worth doing even if it feels like extra admin work. A senior hire's welcome box costing the same as an intern's isn't necessarily a problem, but many companies do prefer a modest step-up for leadership hires — a better notebook cover, a metal pen instead of plastic — without needing an entirely different product line.

Budget for volume discounts early. Most gifting vendors, including us, price meaningfully lower per box once you cross 50 or 100 units. If your hiring plan for the quarter is known in advance, ordering the full batch at once is usually cheaper than repeated small orders every time someone joins.

Finally, build in a small buffer — 5 to 10 percent above your expected headcount. Last-minute offer acceptances and internal transfers that come with a welcome box attached are common enough that running out mid-quarter is more disruptive than the cost of a few spare boxes.
